Free Cleaning Schedule Template (PDF + Excel) for Cleaning Businesses

Free weekly cleaning schedule template with a deep-clean rotation planner. Printable PDF and editable Excel.

Quick answer

Use this free cleaning schedule template to plan crew assignments for every day of the week and rotate deep-cleaning tasks across the month. Download the printable PDF or the editable spreadsheet below — no account or email needed. The email form at the bottom sends both files to your inbox.

This template is for owners and office managers of residential and commercial cleaning businesses. It gives you one grid for weekly crew scheduling and a second planner for spreading deep-clean work across a four-week rotation, so no single visit gets overloaded. It is a planning aid — check it against your actual client commitments and staff availability before finalizing the week.

How to use the weekly grid

  • One row per crew member, one column per day. Write the client or job name in the cell. Leave travel buffer between jobs that are far apart.
  • Match the visit frequency the client pays for. Weekly clients get a fixed slot; bi-weekly and monthly clients alternate weeks — mark them so the pattern is visible.
  • Cap the day at realistic hours. If a day fills, move overflow to the lightest day rather than stacking your best cleaner.
  • Write supply needs in the notes block the day you notice them, not at the end of the week.

How the rotation planner works

Deep-cleaning tasks (inside ovens, interior windows, grout, baseboards, behind appliances) should not happen on every visit — they burn hours the client did not buy. Assign each task a frequency (monthly, quarterly, or bi-annual), put it in one of the four week columns, and give it a crew. Each regular visit then carries only two or three deep tasks, and every deep task still gets its turn within the month or quarter.

What to check before locking the week

  • Every recurring client’s agreed frequency is honored (check against your client contracts).
  • No crew member is scheduled beyond their availability, including travel time.
  • Each day has a named backup in case of a no-show (see our client communication playbook for the scripting).
  • Deep-clean rotation items scheduled this week have their supplies staged.
