The True Cost of Workforce Chaos

Every new hire costs $3,000-$5,000 to recruit and train. High turnover is bleeding your business dry.

    200-400% Annual Turnover

The cleaning industry faces extreme turnover. Finding, vetting, and training replacements costs thousands per position—and drains management time.

    Unqualified Applicants

Manually reviewing every application wastes hours on candidates who don’t meet basic requirements like transportation or work authorization.

    Compliance Gaps

Missing background checks, expired certifications, and lapsed insurance expose your business to liability and lost contracts with enterprise clients.

    Training Inconsistency

New hires receive different onboarding experiences depending on who trains them, leading to quality inconsistencies and customer complaints.

    Paper-Based Hiring

Manual tracking of applicants via spreadsheets or paper folders leads to lost candidates, slow hiring, and no audit trail for compliance.

    No Visibility

Owners can’t see team compliance status, training progress, or recruiting pipeline at a glance—leading to surprises when audits come.

The reality: Without proper workforce management, you’re constantly firefighting instead of growing.

    THE SOLUTION

Complete Workforce Management for Cleaning Businesses

CrewPulse is CleanerHQ’s comprehensive team management system covering the full employee lifecycle: from recruiting new hires to managing existing team members, ensuring compliance, and delivering consistent training.

Three interconnected subsystems—Recruiting Pipeline, Compliance Matrix, and Training Academy—unified under a single dashboard designed specifically for cleaning operations.

    Key Features

    Recruiting Kanban Board

Visual pipeline with drag-and-drop cards moving through 9 status stages: New → Screening → Interview Scheduled → Interviewed → Offer Sent → Offer Accepted → Hired (or Rejected/Withdrawn). See your entire hiring pipeline at a glance with real-time updates and status-specific color coding.

    Auto-Scoring & RAG Classification

Configurable scoring rules calculate candidate scores automatically (base 50 + adjustments). RAG traffic light system categorizes: 🟢 Green (80+) high match, 🟡 Amber (50-79) medium match, 🔴 Red (<50) low match. Score breakdown shows exactly why each candidate scored what they did. Spend zero time reviewing obviously unqualified candidates.

    Compliance Matrix

Full-team compliance dashboard tracking: background checks, drug tests, licenses, certifications, insurance, tax forms (W-4/I-9), and training. Visual matrix shows valid/expiring/expired/pending status per person per requirement. Maintain 100% compliance for contracts requiring documented checks. Automatic alerts trigger before expirations so nothing slips through the cracks.

    Training Academy

Create structured training courses with video, PDF, quiz, read-and-sign, and external link modules. Quiz engine with multiple-choice and true/false questions, pass thresholds, time tracking, and automatic certificate generation. Badge system rewards completion. Standardize onboarding so every cleaner learns the same quality standards.

    Custom Application Forms

Build unlimited application forms with 8 question types: short text, long text, single choice, multiple choice, yes/no, number, date, and file upload. Add scoring rules to auto-rank candidates. Share via public URL. Create tailored applications per job type (residential cleaner vs. office janitor) with screening questions that automatically filter candidates.

    Complete Activity Timeline

Full audit trail per applicant: status changes, notes, emails sent, interviews scheduled, score updates, documents uploaded. Timestamps and performer names logged for every action. Full hiring history if disputes arise. See who moved the candidate and when with complete accountability.

    Frequently Asked Questions

Can applicants apply directly on our website, or do they have to use CleanerHQ?

CleanerHQ provides a public application page you can share with candidates. The URL format is: https://yourdomain.com/jobs/{your-workspace-slug}/apply. You can link to this page from your website’s careers section, job board postings, or social media. The form is mobile-responsive and branded with your company name. When candidates submit, their applications appear instantly in your recruiting pipeline with auto-calculated scores.

How does the automatic scoring actually work? Can I customize it for my specific needs?

The scoring system is fully customizable per application form. Every applicant starts with 50 base points. You configure point adjustments per answer: Yes/No questions (“yes”: +15, “no”: -20), Single choice (“5+ years”: +25, “No experience”: 0), Number ranges (“0-1 year”: 0, “2-5 years”: +15, “5+”: +25), Multiple choice (points add up for each selected option). Final score is clamped between 0-100 with RAG classification: Green (≥80), Amber (50-79), Red (<50). You can create "knockout questions" by assigning -100 points (e.g., "Are you legally authorized to work?" → No = -100) ensuring unqualified candidates automatically get a red rating.

What compliance requirements can I track? Can I add custom ones for specific clients?

CrewPulse supports 8 compliance categories out of the box: Background Check, Drug Test, License (driver’s license, cleaning licenses), Certification (OSHA, green cleaning, specialized equipment), Insurance (personal liability, bonding), Tax Form (W-4, I-9, state forms), Training (linked to Training Academy courses), and Other (custom requirements). Each requirement has configurable settings: renewal frequency (one-time, monthly, quarterly, bi-annual, annual), reminder days (get alerts X days before expiration), mandatory flag (required for all vs. optional), and document template (provide blank forms for staff to download). You can add unlimited custom requirements to match client contracts (e.g., “ABC Corp Background Check” requiring annual renewal).

How does the Training Academy handle different types of content? Our team has low English proficiency.

The Training Academy supports 5 content types to accommodate different learning styles: Video (upload or link training videos with required watch time tracking for visual demonstrations), PDF (upload documents like manuals and SOPs for written reference materials), Quiz (multiple-choice and true/false questions with scoring to test comprehension), Read & Sign (documents requiring digital signature for policies and safety acknowledgments), and External Link (link to third-party training like equipment manufacturer portals). For multilingual teams: create parallel courses in different languages, use video-heavy content with visual demonstrations, include images in quiz questions. The Training Academy tracks progress per user so you can identify who needs additional support. Badges are awarded upon course completion, and a leaderboard gamifies training to encourage participation.

If we hire someone from the pipeline, are they automatically added to our team?

When you move an applicant to “Hired” status, CleanerHQ can convert them to a team member. The process: (1) Status change to “Hired” – you drag their card to the Hired column or change status manually, (2) Conversion prompt – system asks if you want to create a user account, (3) User creation – generates a team member record with their name, email, and role (STAFF by default), (4) Invitation sent – they receive an email invitation to create their login credentials, (5) Compliance records created – system creates pending compliance records for all mandatory requirements, (6) Training assigned – you can bulk-assign onboarding courses. This seamless transition from candidate to employee ensures nothing falls through the cracks.
